In this guide you'll learn three methods, when to use each one, how to position the QR Code without breaking your layout, and which file format ensures sharp results when printed.

Method 1 — Generate the image and insert into Word (recommended)

This is the fastest approach and works in every version of Word (Windows, Mac, and online).

Step by step

  1. Open the Code2Scan QR Code generator.
  2. Paste the URL (or text) the QR Code should contain.
  3. Click Generate, then Download — choose SVG for print or PNG for digital use.
  4. In Word, go to Insert → Pictures → This Device and select the downloaded file.

Method 2 — QR4Office Add-in (built into Word)

Word 365 and Word 2016+ let you install add-ins directly from the ribbon.

Step by step

  1. Go to Insert → Add-ins → Get Add-ins.
  2. Search for QR4Office and click Add.
  3. The side panel opens — paste your URL and click Insert.

QR4Office limitations

  • Generates only static QR Codes with no scan tracking.
  • Export resolution is limited — may pixelate when printed above A5 size.
  • No visual customization (color, logo, margin).
  • Requires a Microsoft account login and internet access.

When to use: quick drafts in a corporate environment where downloading external files isn't allowed.

When to avoid: documents meant for printing, certificates, resumes — prefer Method 1 with SVG.

Method 3 — Copy and paste from the web (fast but risky)

Some online generators let you copy the QR image directly. It's quick, but Word saves a compressed version that may degrade quality.

Only use this method for internal drafts that will never be printed.

How to position the QR Code in Word

After inserting, click the image and use the Layout options (the icon that appears next to it):

  • In Line with Text — the QR stays locked between paragraphs; safest for column-based templates.
  • Square / Tight — text flows around it; ideal for a page corner.
  • Fixed Position on Page — the QR is anchored at an absolute spot; useful for certificate footers.

Minimum print size: 1 inch × 1 inch (2.5 cm × 2.5 cm). Smaller than that and phone cameras may struggle to read it. See QR Code size rules.

For portrait A4 documents, a 1.2 in × 1.2 in (3 cm × 3 cm) QR in the top-right corner is the most common standard — small footprint, easy to spot.

Common mistakes

❌ Inserting a low-resolution PNG and printing it

A 150 px PNG inserted into Word will pixelate when printed. Always download at high resolution (minimum 500 px, ideal 1000 px) or use SVG.

❌ Leaving text wrapping set to "In Line"

With this setting the QR Code shifts whenever you edit paragraphs above it. Change it to Square or Fixed Position on Page right after inserting.

❌ QR Code too small

Shrinking the QR below 1 inch to "fit the layout" makes it unreadable. Revisit your document layout — a 1.2 in QR rarely disrupts a design.

❌ Using QR4Office for printed documents

The resolution from the add-in is low. For any document going to a printer, generate the image externally and use Method 1.

❌ Forgetting to test before printing

Always scan the QR Code in the final file (exported PDF or printed copy) before distributing. A broken or cropped QR is hard to spot after the fact.
